Overview

The Project Coordinator supports survey-based client engagements by assisting with project coordination activities under the direction of a Senior Manager or Senior Practice Director. This role helps track project timelines, deliverables, and progress to ensure programs are executed accurately and on schedule.

The Project Coordinator serves as the primary point of contact for assigned contractors, supports progress update calls, and assists with the training and onboarding of project staff. This role helps maintain project documentation, supports adherence to project processes and procedures, and escalates issues as needed to leadership.

Responsibilities

• Manage the lifecycle of programs, projects, and outcomes best to reach the goals and objectives of the client
• In partnership with the Senior Project Manager / Senior Practice Director, serve as a point of contact for contractors working on assignments for our program and project teams
• Lead progress update calls with project staff, updating the team on status, answering questions, and providing insights on best practices for project success
• Manage a team of contractors and escalate issues to Senior Project Manager
• Develop an overall understanding of the project lifecycle methodology in order to understand the requirements and deliverables
• Facilitate training of project staff, including training on administration, appropriate tracking of outreach activities, and implementing other policies and procedures
• Implements project management processes, and assists in the creation and implementation of standard operating procedures
• Analyze risks and opportunities
• Track and report project statuses on a timely basis to leadership and stakeholders
• Attends key project meetings
• Work with the team to ensure project scope compliance, including timeline management, deliverable execution, and overall project health

Qualifications

  • Bachelor’s degree in project management, public administration, business management, or related field required 
  • Knowledge and understanding of standard project management tools 
  • Demonstrated leadership experience in coaching, mentoring, developing and leading people and teams 
  • Ability to work independently with minimum supervision 
  • Excellent interpersonal and communication skills (both oral and written) with the ability to communicate complex messages to a variety of audiences  
  • Strong decision-making skills  
  • Able to make decisions quickly and efficiently 
  • Demonstrated competency in developing and managing project plans and timelines 
  • Detail-oriented with proven ability to adapt to a dynamic environment and oversee multiple projects 
  • Possess excellent prioritization, resource planning, and management skills  
  • Proven consultative, conflict resolution, negotiation, and facilitation skills to gain stakeholder consensus and ensure the delivery of initiatives 
  • Ability to work under tight deadlines and meet strict deadlines with sudden and unpredictable changes that may occur 
  • Ability to improve current processes and procedures; present opportunities for change and help implement them for the benefit of the client
